On the day of a booking it is the responsibility of the location owner to communicate directly with the production lead.
The location owner is required to meet with the production lead on arrival and carry out a walk through. We advise allowing at least 15 minutes prior to the start time to allow for this. At this walk through the location owner should clarify where everything is, how to operate it and highlight anything important. At this stage the production lead may ask about moving items, wifi passcodes and lighting switches.
Please ensure you leave your contact details with the production lead and clarify how much notice you need should they require additional time.
Ensure that you agree any access you may need during the day during the shoot and the time you will be returning. Productions should never leave the property before the agreed time without notifying you. Sometimes the production may need to run over in timings, if this is not possible due to other commitments you may have you must make the production lead aware of this as they will assume they can stay beyond the time booked if running late.
The location owner must be back at the property at least 15 to 30 mins prior to the end time or contact the production lead to ensure the production are on time and ready to finish up. A walk through must be carried out by the location owner with the production lead prior to the production leaving the property. This is so any damages or issues can be identified.
Here is the process for dealing with any damages or issues that may occur during a shoot:
- Please return to the property approximately 15 minutes prior to the agreed end time to ensure a post-shoot walkthrough can be completed with the production lead.
- If any damage has occurred, discuss it directly with the production lead and agree an appropriate resolution.
- Notify SoScout immediately and outline both the issue and the resolution agreed with the production team.
- If the production team leaves before a walkthrough can take place, contact the production lead immediately after the shoot to discuss any damages or issues identified.
- Damage claims cannot always be resolved if reported more than 24 hours after the production has left the property. It is therefore crucial that any damage is identified and reported as soon as possible so we can notify the production immediately.
